Responsibilities
Serve as liaison between suppliers, vendors, and internal stakeholders to ensure timely delivery of goods and services
Source pricing and delivery options for requested supplies
Review requisitions for accuracy in specifications, quantity, quality, and delivery requirements
Ensure compliance with state guidelines and organizational practices for quotes and bids
Convert requisitions into purchase orders using Microsoft Dynamics AX ERP system
Monitor open purchase orders and ensure delivery timelines are met
Verify pricing, shipping terms, and delivery dates prior to order confirmation
Provide ERP system support and troubleshoot user issues
Resolve discrepancies related to invoices, returns, and accounts payable
Manage document routing through DocuSign (waivers, purchase orders)
Solicit and analyze bids/quotations for purchases between $10K and $50K
Train employees on ERP navigation and functionality
Collaborate with IT to resolve system-related issues
Address supplier invoicing issues and coordinate with end-users for replacements, cancellations, and warranty concerns
Maintain Master Project and Waiver files
Qualification
Required
Minimum 2 years in purchasing or procurement
Strong knowledge of purchasing principles, laws, and regulations
Proficiency in Microsoft Dynamics AX and Microsoft Office Suite
2–4 years in bidding, contracting experience
Familiarity with inventory systems and materials control
Preferred
Advanced knowledge of procurement principles, laws, and regulations
Proficiency in Microsoft Dynamics AX ERP system
Strong analytical and problem-solving skills
Excellent verbal and written communication abilities
Ability to manage multiple tasks and meet deadlines
Familiarity with inventory systems and materials control
Experience in bidding and contracting processes
Strong organizational and documentation skills
Ability to train employees on ERP navigation and functionality
