Administrative Assistant I
City of Brockton is seeking an Administrative Assistant I to support the Department of Public Works. The role involves performing complex clerical duties, maintaining personnel records, processing payroll, and providing customer service while adhering to departmental policies and schedules.

Responsibilities
Performs highly responsible and complex clerical duties requiring decision making ability and complete knowledge of the functions of the Department of Public Works Operations Division Highway Section
Provides customer service to walk-ins or answering the department's telephone
Maintains personnel records
Process department's payroll, accounts payable and responds to customer complaints
Answer the department's emails and filing papers
Reviews and organizes annual contracts and tracks progress
Prepares annual snow letters to all snow contractors
Prepares personnel service costs for all snow events and when requested
Prepares FEMA paperwork as well as the annual fiscal year-end closeout for highway and maintenance sections
Prepares and processes Refuse Section's payroll
Performs other similar or related duties as required; as situation dictates or as assigned by the DPW Commissioner, Director of Operations or his/her designee
Qualification
Required
High school diploma or an equivalent apprentice level of trade knowledge
one to three (1-3) years of office experience or an equivalent combination of education, training and experience which provides the required knowledge, skills and abilities to perform the essential functions of the job
Knowledge of common policies, practices and procedures of the department and office operations
Knowledge of laws and regulations pertinent to the position's functions
Knowledge of office software (word processing and spreadsheet applications) and payroll software in support of department operations
Working knowledge of modern clerical procedures utilized in the maintenance and review of financial accounts and records
Working knowledge of office terminology, procedures and equipment
Working knowledge of business arithmetic
Ability to interact effectively and appropriately with the public and other personnel
Ability to perform multiple tasks and maintain confidential information
Ability to understand and follow oral and written instructions
Ability to make arithmetical computations rapidly and accurately
Ability to write legibly
Ability to perform keyboarding accurately at an acceptable rate of speed
Ability to get along well with others
Proficient skill in operation of a computer terminal with alpha-numeric keyboard and other office equipment
Proficient in the application of office software including word processing, spreadsheet and database management applications
Proficient business mathematical skills, recordkeeping, keyboarding and customer service skills
Proficient written and oral communication skills
