Kate-Lo Tile & Stone is seeking an Accounts Payable Specialist to manage and process payable functions for the company and its affiliates. The role involves responsibilities such as invoice processing, payment processing, vendor management, and administrative support.

Responsibilities

Code and enter vendor invoices for payment and file them in open payables until due

Code and enter inventory invoices and maintain the purchase order receipt report

Back out invoices paid by wire each week

Manage email-delivered invoices, including printing and forwarding

Process weekly check runs, including:

Printing checks

Matching invoices to supporting documentation

Making copies for records

Forwarding checks for signatures and/or mailing

Upload positive pay data to banks for each weekly check run

Pay monthly rents

Type OTUSA checks as requested and maintain proper back-up documentation

Maintain physical vendor files containing invoices, payments, and correspondence, filing weekly after each check run

Review vendor statements and resolve discrepancies

Complete new vendor credit applications

Set up new and temporary vendors in the FACTS file maintenance system

Communicate with vendors via email or phone regarding billing or payment issues

Distribute incoming physical mail to appropriate individuals or departments

Update and maintain coding cheat sheets and detailed processing instructions

Monitor check stock levels and reorder as needed

Process employee expense reports twice monthly

Box up files from two years prior and relocate them within the office

Create new vendor files and update cabinet labels for the new year
