Project Support Coordinator
Pentangle Tech Services is seeking a detail-oriented Project & Documentation Coordinator to support structured document control and project tracking. The role focuses on managing documentation, schedules, task execution, and stakeholder follow-ups to ensure timely project execution in compliance with internal processes.
Responsibilities
Review documents for formatting, completeness, accuracy, and consistency prior to review and approval
Ensure documents follow established templates, standards, and version control practices
Coordinate document review and approval workflows, ensuring timely sign-offs and compliance with internal procedures
Maintain organized repositories for controlled documents, records, and approvals
Manage project schedules, task lists, and milestone tracking across multiple initiatives
Track action items, deliverables, and dependencies; follow up with owners to ensure on-time completion
Support project planning activities including task breakdowns, sequencing, and status updates
Maintain RAID logs (Risks, Actions, Issues, Dependencies) and escalate risks as needed
Serve as a coordination point between engineering, operations, quality, suppliers, and management
Conduct in-person and virtual follow-ups with stakeholders to close open items
Schedule and facilitate meetings, capture minutes, and track resulting action items
Develop and maintain dashboards and reports to track progress, completion metrics, and key milestones
Generate weekly and monthly status reports for leadership and project stakeholders
Track performance metrics such as schedule adherence, task completion rates, and approval cycle times
Identify gaps or inefficiencies in documentation and workflow processes
Support continuous improvement initiatives related to document flow, approvals, and execution tracking
Qualification
Required
Bachelor's degree in Engineering, Business, Project Management, or related field
5+ years of experience in project coordination, documentation control, PMO support, quality operations, or a similar role
Experience working with document review and approval processes
Strong organizational skills with the ability to manage multiple priorities
Proficiency in Microsoft Excel, Word, PowerPoint, and SharePoint or similar tools
Excellent communication skills and ability to follow up assertively with stakeholders
Preferred
Experience in manufacturing, engineering, regulated, or compliance-driven environments
Familiarity with tools such as MS Project, Smartsheet, Jira, Confluence, Power BI, or Tableau
Understanding of quality systems (ISO 9001, SOPs, controlled documents) is a plus
Experience creating dashboards, metrics, or status reporting for leadership
