Accounting Coordinator

They are seeking an Accounting Coordinator / Office Manager who can ensure financial accuracy while managing front-office operations. The role involves handling accounts receivable and payable, maintaining office supplies, and coordinating with vendors to create a smooth operational experience.

Responsibilities

Input and manage A/R & A/P: invoicing, payments, and vendor/customer relationships
Maintain integrity of AP/AR agings; reconcile vendor & customer accounts
Reconcile invoices to POs and packing slips; research and correct discrepancies
Enter customer payments; scan checks for deposit; file paid AP support
Send monthly customer statements and collect past-due balances
Support month-end for A/R & A/P and coordinate audit requests (fiscal year ends March 31)
Prepare credit applications, access payment portals, and help implement consistent controls & procedures
Build weekly payment schedules and cash-flow requirements
Lead front office operations: greet visitors, route calls, manage office & janitorial supplies
Handle purchasing for non-production and capital projects
Coordinate vendors for safety supplies, uniforms, shop mats, cleaning, and related contracts
Support basic IT vendor interactions (phones/copiers/printers)
Manage vehicle insurance & registrations
Partner with the landlord on property issues

Qualification

Required

High school diploma or GED required
Proficiency with accounting software, ERP, and MS Office; strong confidentiality
Ability to read/interpret POs, invoices, packing slips; solid math (percentages & fractions)
Problem solving in complex situations; organized, accurate, and professional with vendors and internal teams

Preferred

Associate's preferred
2+ years prior experience in A/R and A/P preferred
