Office Manager

Haus of Portraiture is a luxury portrait studio specializing in elevated photography experiences. They are seeking an experienced, tech-savvy Office Manager to oversee daily operations, support leadership, and ensure seamless studio functionality across two locations.

Responsibilities

Manage daily office operations across both studio locations
Oversee opening and closing procedures for each studio
Handle invoice management and financial controls, ensuring accuracy and timeliness
Maintain and organize digital and physical files, contracts, and records
Order and manage inventory, supplies, and equipment
Run studio-related errands as needed
Oversee studio calendars, session schedules, and staff availability
Manage leadership and studio calendars to ensure optimal workflow
Coordinate and maintain session schedules across both locations
Oversee and optimize client confirmation automations
Oversee and manage the Front Desk Admin team, including scheduling, accountability, and performance
Ensure front desk coverage, professionalism, and consistency across both studios
Support onboarding and training of administrative staff
Act as a liaison between leadership and front desk teams
Manage and optimize CRM systems and related software
Must be excellent with new technology and quick to learn new tools
Create and maintain flow charts, SOPs, and operational systems
Improve workflows for efficiency, consistency, and scalability
Assist with marketing initiatives, promotions, and studio campaigns as needed
Ensure a seamless, luxury-level client experience from booking through session completion
Support communication between marketing, sales, and studio teams

Required

Proven experience as an Office Manager, Operations Manager, or Administrative Manager
Experience managing multiple locations is a strong plus
Strong leadership and team management skills
Highly organized with exceptional attention to detail
Comfortable handling invoices, scheduling, inventory, and systems
Advanced experience with CRMs, automations, and digital tools
Ability to create flow charts, SOPs, and structured processes
Proactive, solution-oriented, and able to work independently
Professional, polished communication style
