Administrative Coordinator, Clinic
CNS Healthcare is a non-profit, Certified Community Behavioral Health Clinic dedicated to serving the community. The Administrative Coordinator, Clinic provides executive-level support to the Chief Medical Officer and Medical Director, ensuring the smooth operation of the department and assisting with various administrative tasks.

Responsibilities
Provide high-level administrative support to the CMO, Medical Director, and department staff, overseeing all information in a sensitive and confidential manner
Serve as a liaison and point of contact between department leadership and internal or external parties
Assist in the coordination and preparation of assigned meetings and committees, including calendar scheduling, presentation development, coordinating venues, preparing agendas, meeting production, transcribing minutes, arranging catering, and tracking follow-up items
Organize, manage, and prioritize schedule, appointments, and correspondence for the CMO and/or Medical Director and manage delegations
Manage departmental contracts, practice agreements, required trainings, and check list for new and existing staff
Partner with cross-functional agency team to assist in maintaining privileging, credentialing, licensure, and registration for department staff
Monitor and maintain documentation of active status of malpractice insurance for assigned staff
Support department staff by facilitating interdepartmental communications
Prepare various ad-hoc and recurring reports for assigned departments in an accurate, thorough, and timely manner
Establish and maintain electronic file system to ensure that information is readily available and accessible
Assist with booking conference and travel accommodations for assigned staff
Assist with budget tracking and monitoring including collecting and submitting receipts for corporate credit card reconciliation, department budgetary items, etc
Coordinate assigned department recruiting with human resources and hiring managers including interview coordination and follow-ups
Create documents, forms, spreadsheets, and presentations using Microsoft Office and other tools
Respond to general inquiries concerning departmental activities and operations by referring to established policies, procedures, and work instructions
Assist with special projects as assigned
Maintain compliance with quality care initiatives including Meaningful Use (MU), Medicare Merit Based Incentive Payment System (MIPS), Commission on Accreditation of Rehabilitation Facilities (CARF), and Certified Community Behavioral Health Clinic (CCBHC) requirements
Ensure that the CNS Healthcare standards of service are applied to interactions with individuals served, guests, and staff
Assume responsibility for professional growth by current reading and attendance at educational programs and conferences
Maintain knowledge and compliance with established policies and procedures, corporate compliance program, code of ethics, applicable federal, state, and local laws and regulations, HIPAA standards, and other regulatory programs
Perform other related duties as assigned
Qualification
Required
High School Diploma or General Education Diploma (GED)
At least 3 years of relevant experience providing administrative support to individuals in leadership roles
At least 5 years of progressive experience working in inpatient or outpatient healthcare settings
Working knowledge of computers and Microsoft office products (including Outlook, Word, Excel, PowerPoint, and Teams)
Ability to operate standard office machines such as photocopiers, faxes, computers, and video/teleconferencing equipment
Ability to work in an environment that requires the use of discretion and judgement when overseeing sensitive / confidential matters
Advanced written and people skills; able to communicate and collaborate effectively, professionally, and courteously utilizing proper grammar, punctuation, and spell check
Advanced organization skills, excellent attention to detail, and advanced time management skills with proven ability to meet deadlines
Proficient customer service orientation skills necessary to deal effectively with various levels of agency personnel, outside customers, stakeholders, and community groups
Ability to analyze information, research issues, pay attention to detail, and meet deadlines

Valid and unrestricted Driver's License
Transportation or Automobile accessibility with current automobile/vehicle insurance meeting agency policy requirements
Preferred
College courses completed towards a degree program in healthcare, business administration, or a related field
Proficient in medical terminology used in a behavioral healthcare setting
General knowledge of the community mental health system based on the Michigan Mental Health Code and MDHHS contracts
Prior experience in behavioral health and/or community health settings
Prior experience in project coordination and management
