Administrative and Operations Coordinator
OneWe Reach is seeking an Administrative and Operations Coordinator to provide essential administrative and operational support across the organization. This role is crucial for ensuring smooth internal operations and maintaining high-quality engagement with members, partners, and leadership.

Responsibilities
Manage the calendars of executive leaders and coordinate scheduling across departments and with external stakeholders
Schedule and coordinate logistics for all internal and external meetings, including Board and Advisory Council meetings
Prepare agendas, distribute meeting materials, take notes or minutes, and follow up on action items to support accountability
Assist with the end-to-end coordination of all virtual and in-person events, including webinars, conferences, and workshops
Manage RSVPs, coordinate logistics, and support event teams with vendor follow-up and post-event communications
Draft and send communications to members, sponsors, and external partners on behalf of the Executive Director and the broader team
Support distribution of organizational updates, event invitations, and announcements, while providing timely and professional responses to inbound inquiries
Organize and maintain all critical documents, such as meeting notes, presentations, and contracts
Provide administrative support for shared platforms, including Google Drive, Zoom, Dropbox, and Airtable, ensuring document formatting and version control
Leverage a financial background to identify new opportunities to increase investments in the organization
Develop and help implement strategies to raise funds from potential corporate partners and sponsors
Assist in managing the organization’s budget and financial processes, tracking expenses, and ensuring fiscal health
Provide general administrative assistance to team members and help coordinate deadlines and team-wide priorities through shared tools and workflows
Support travel planning, reimbursements, and scheduling for staff or consultants
Contributes to a collaborative and positive work environment by taking on additional duties and supporting team members as needed to achieve organizational goals
Qualification
Required
Bachelor's degree or equivalent experience in nonprofit management, communications, marketing, or a related field
2+ years of administrative, operational, or executive support experience, preferably in a nonprofit or mission-driven organization
Background in finance or fundraising with a proven ability to develop and execute financial strategies
Excellent written and verbal communication skills
Strong proficiency in Google Workspace (Docs, Sheets, Calendar, Drive), Microsoft Office, Zoom, and shared cloud systems
Experience in managing complex calendars, schedules, and communications
Detail-oriented, dependable, and proactive in a fast-paced environment
Able to handle sensitive information with professionalism and discretion
Mission-aligned and passionate about equity, leadership, and community advancement in health and life sciences
