The role involves supporting both office operations and core accounting functions, ensuring the office runs smoothly while managing accounting processes across AP/AR, reporting, and audits.

Responsibilities

Handle AP/AR, invoicing, cash applications, customer payments
Maintain accurate aging reports & ensure compliance with internal controls
Reconcile customer/vendor accounts & support audit documentation
Review invoices against POs & packing slips; resolve discrepancies
Send monthly customer statements & assist with collections
Support month‑end close for AR/AP and weekly cash‑flow needs
Prepare credit applications & manage access to payment portals
Manage front office operations, visitors, calls & supplies
Support non‑production purchasing & capital project purchases
Coordinate IT vendor visits for phones, copiers, printers
Handle insurance/vehicle registrations & driver changes
Manage vendor relationships (uniform services, facility cleaning, safety supplies, etc.)
Liaise with landlord for onsite property needs

Required

3+ years of experience in accounting
Experience in front desk operations/management
Ability to work onsite
Handle AP/AR, invoicing, cash applications, customer payments
Maintain accurate aging reports & ensure compliance with internal controls
Reconcile customer/vendor accounts & support audit documentation
Review invoices against POs & packing slips; resolve discrepancies
Send monthly customer statements & assist with collections

Strong organizational skills, attention to detail, and comfort working onsite
Proficiency with MS Office; experience with ERP/accounting systems a plus
Ability to maintain confidentiality and work cross-functionally
High school diploma or GED required

Preferred

Associate degree preferred
Exposure to a general office environment
3–5 years of accounting experience (AR/AP, reconciliations, audit support)
