Sales Administrator
IMA Group is a global leader in the development and production of automatic machines for the processing and packaging of various products. The Sales Administrator will provide administrative and commercial support for the outside sales team, manage quotations and sales orders, and coordinate order execution activities with internal departments.
Responsibilities
Provide administrative and commercial support for projects related to the outside sales team and assigned customers
Manage and process commercial quotations, sales orders, and order confirmations using SAP and CRM systems
Coordinate order execution activities with internal departments, including Project Management, Accounting/Finance, Shipping/Logistics, and overseas factories
Ensure accuracy and completeness of customer purchase orders prior to system entry and processing
Maintain and update open orders and order tracking tools to support regular order review meetings
Prepare and issue commercial and order-related documentation through internal document management systems for approval and release to customers
Support billing activities, including progress billings and final invoicing, in collaboration with Accounting
Manage delivery status updates, shipping instructions, and all related system transactions
Process Change in Work (CIW) documentation and material return documentation as required
File and maintain all relevant commercial, shipping, and customer documentation
Participate in cross-functional communication with sales, production, logistics, and customer representatives
Support front desk coverage on a rotational basis for lunches, breaks, and time-off requests
Adhere to internal processes and procedures and contribute to continuous improvement initiatives
Qualification
Required
Associate degree in a related field with 3+ years of experience in a similar administrative or sales support role
Strong attention to detail with a high level of professionalism
Excellent written and verbal communication skills
Ability to work independently while effectively managing multiple priorities
Strong time management skills and ability to meet deadlines
Excellent math skills and accuracy in data entry and order processing
Participate in cross-functional communication with sales, production, logistics, and customer representatives
Adhere to internal processes and procedures and contribute to continuous improvement initiatives
Preferred
Proficiency in SAP and Microsoft Dynamics CRM software (highly preferred)
Proficient with MS Office, with intermediate Excel skills preferred
Bilingual (Italian/English) preferred
Previous experience in a manufacturing or industrial environment preferred
Experience managing quotations, sales orders, and order fulfillment in an SAP-driven environment
Ability to collaborate effectively with cross-functional teams, including Sales, Accounting, Logistics, and Production
Comfort working in a fast-paced, deadline-driven environment with changing priorities
Strong problem-solving skills and a proactive, service-oriented mindset
Familiarity with manufacturing documentation, order confirmations, invoicing, and shipping processes
Willingness to learn assigned products, internal systems, and continuously improve processes and workflows
