Clinical Operations Manager
CCAIM is a boutique, high-touch, expanding integrative medical practice. The Clinical Operations Manager will oversee the day-to-day operations of the clinic, ensuring a smooth patient experience and leading the support team while maintaining high standards of cleanliness and service.

Responsibilities
Run the clinic day-to-day (flow + patient experience)
Ensure the clinic runs smoothly without supervisors having to track, remind, or catch preventable errors
Manage day-of flow, patient coordination, and problem-solving in real time
Maintain a consistently polished, calm, high-touch patient experience
Monitor follow-through and quality across eligibility/benefits, authorizations (as applicable), claims follow-up, denials resolution, and documentation
Lead the team (scheduling, training, HR)
Manage day-to-day performance and accountability for MA, Medical Office Assistant, and VMA team
Create and maintain staff schedules/coverage plans; plan PTO; handle call-out contingencies
Hire, train, coach, and develop staff; reinforce standards kindly but firmly
Systems + quality control (so issues don’t repeat)
Build and maintain checklists, SOPs, scripts, and training guides (“how we do it here”)
Quality-check before work reaches supervisors; close loops; proactive updates
Prevent repeated errors by fixing root causes (process changes + training + audits)
Hands-On Backup Expectations:
Because we’re a small practice, you will also step in as needed to:
Support phones/email coverage, patient coordination support during peak flow
Assist with room turnover/cleanliness and “clinic-ready” presentation when coverage gaps happen
Supporting all administrative and operational functions of the team
Qualification
Required
Extremely detail-oriented: accurate, careful, consistent
Highly organized: can juggle priorities in a busy environment without losing the thread
Strong communicator: proactive updates, clear direction, calm under pressure
Self-directed and solutions-oriented: 'if you see something, do something about it'
High standards for cleanliness, presentation, hospitality, and professionalism
Follow-through mindset: done means done + checked + communicated
Ability to wear a KN95 mask throughout the workday
Ability to maintain a 100% fragrance-free standard at work (no perfume/cologne; no scented hair products, lotions, laundry products, cosmetics, or essential oils on skin/clothing)
English (Required)
Ability to commute to Bethesda, MD 20817 (Required)
Preferred
Experience in a busy medical/clinical office is a plus
Experience as a restaurant/hospitality manager who brings a fast-paced, service mindset, and high standards
