Patient Access & Operations Coordinator (Independent Contractor – Remote, Brazil-Based)
Mental Health Mastery Group (MHMG) is a physician-led psychiatric telehealth practice serving patients across the United States. They are seeking a highly reliable, organized, and bilingual Patient Access & Operations Coordinator to support patient intake, scheduling, and day-to-day administrative operations.

Responsibilities
Respond promptly to inquiries from potential patients via phone, text, WhatsApp, email, website forms, social media ads, and professional referrals
Communicate clearly and professionally in both English and Portuguese, verbally and in writing
Explain MHMG services, care model, and next steps in a calm, compassionate, and non-pressured way
Schedule psychiatric evaluations and follow-up appointments using the electronic health record (training provided)
Ensure intake forms, consents, and required documentation are completed prior to appointments
Maintain active communication with individuals who inquire about services but do not immediately schedule
Conduct respectful follow-up outreach to address questions, clarify hesitations, and facilitate access to care
Re-engage potential patients who stop responding after initial contact
Track outreach efforts and outcomes as part of routine workflow
Discuss insurance participation, self-pay options, and administrative policies clearly and professionally
Address affordability concerns with empathy and discretion
When appropriate and approved, offer alternative options such as discounts or sliding-scale arrangements
Help patients understand the value, structure, and expectations of psychiatric care while respecting autonomy and boundaries
Serve as liaison between patients and the billing team for administrative questions
Maintain accurate patient information in the system
Monitor inboxes and messaging platforms consistently during agreed working hours
Support operational workflows and assist with continuous process improvement
Maintain HIPAA compliance and strict confidentiality at all times
Follow MHMG policies, scripts, and communication standards
Represent MHMG with professionalism, warmth, and reliability in every interaction
Qualification
Required
Fluency in English and Portuguese (spoken and written)
Comfort speaking on the phone with U.S.-based patients
Strong written communication skills in both languages
Reliable high-speed internet connection
Access to a smartphone and a personal computer
Ability to respond promptly to texts and emails during agreed working hours
Strong organizational skills and attention to detail
Professional, calm, and patient-centered communication style
Comfortable working as an independent contractor (no benefits)
Preferred
Experience in healthcare, mental health, medical office administration, or patient coordination
Familiarity with telehealth environments or electronic health records
Experience engaging with prospective patients or clients and supporting follow-through
