Administrative Assistant

Responsibilities
Take ownership of assigned initiatives from concept through completion without requiring constant oversight
When asked to explore a topic, take full responsibility by researching, evaluating options, and presenting a clear recommendation with next steps
Anticipate leadership and advisor needs before they arise and proactively remove friction
Ensure delegated items are completed accurately and on time without reminders
Manage professional and personal calendars for advisors, ensuring efficient scheduling, prioritization, and time protection
Coordinate travel arrangements including flights, lodging, transportation, and scheduling drive time
Support internal workflow so advisors can remain focused on client meetings and business development
Maintain organized records, files, and systems that support scalability and efficiency
Serve as the internal administrative backbone of the office to keep the team operating effectively and efficiently at all times
Order office supplies, coordinate lunches, and maintain shared office spaces
Organize internal gifting initiatives including client gifts, team birthdays, and work anniversaries
Support internal meetings, planning sessions, and team logistics
Provide administrative support for social media efforts, including scheduling and coordination
Assist with planning and logistics for internal and external events
Manage mailings, cards, and other outreach logistics as assigned
Support marketing-related administrative projects with attention to detail and deadlines
Build and maintain processes that improve efficiency and consistency
Keep clean, accurate, and organized systems and records
Ensure work is completed correctly the first time, with details double-checked
Provide daily end-of-day updates summarizing completed work, items in progress, and any blockers
Qualification
Required
Bachelor's degree required
2–4 years of administrative experience in a professional office environment
Proven success in a fast-paced, high-accountability environment
Demonstrated ability to work independently, problem-solve, and think ahead
Highly organized, detail-oriented, and execution-focused
Self-motivated with a strong sense of ownership and follow-through
High standards for professionalism, integrity, discretion, and confidentiality
Ability to collaborate effectively while operating autonomously
Willingness to be a team player to contribute to overall team success
Ability to work in a traditional professional office setting
Prolonged periods of sitting at a desk and working on a computer
Advanced computer skills and ability to effectively operate computer equipment, software systems and databases
Ability to efficiently operate all job-related office equipment
Ability to communicate via telephone, computer and work in virtual teams
Must be able to lift up to 15 pounds at a time
Ability to travel using personal vehicle to other office locations as needed
