Branch Office Administrator
Impact! Partners Financial is seeking a Branch Office Administrator to serve as the operational and client-facing hub of their Kingwood branch office. This role involves front-office administration, client service support, and ensuring efficient branch operations.

Responsibilities
Greet all clients, prospects, vendors, and guests in a professional and welcoming manner
Answer and route incoming phone calls; take detailed and accurate messages
Manage front reception area and maintain a clean, organized, and client-ready office environment
Oversee office supplies, inventory, mail, shipping, and administrative logistics
Ensure common areas meet firm branding, compliance, and confidentiality standards at all times
Manage and maintain the Branch Advisor’s calendar, including client meetings, reviews, and events
Schedule appointments generated from seminars, events, referrals, and inbound inquiries
Prepare meeting materials, reports, and agendas as requested
Conduct post-meeting debriefs with the Advisor and communicate action items to the main office
Serve as the primary in-office client service contact for the Kingwood branch
Assist clients with service requests, paperwork completion, and follow-up communications
Maintain accurate client and prospect records within the CRM system (Redtail)
Scan, upload, and organize physical and digital client documentation per firm standards
Coordinate with centralized Client Relations and Operations teams as needed
Assist with the preparation and review of new account paperwork for accuracy and completeness
Collect client signatures and required documentation in compliance with firm procedures
Submit completed new business paperwork to the designated Onboarding Specialist
Track outstanding items and follow up with clients to ensure timely processing
Work all branch seminars, client events, and marketing initiatives as scheduled
Assist with event setup, breakdown, and onsite logistics
Greet attendees, manage sign-in processes, and schedule appointments during events
Compile and transmit all event-related documentation and scheduling details to the main office
Attend select networking and community events as a light brand ambassador to support branch growth
Qualification
Required
High school diploma or equivalent required
Strong verbal and written communication skills
Excellent organizational skills and attention to detail
Proficiency with Microsoft Office 365 and CRM platforms
Ability to manage multiple priorities in a fast-paced environment
Professional demeanor with discretion and confidentiality
Preferred
Associate's degree or higher and prior experience in financial services, client service, administration, or event coordination preferred
Financial services licensing (including but not limited to Life & Health insurance) is preferred but not required
