QuickBooks Accounting & Inventory Specialist
Hybrid Design Services (HDS) is working towards a sustainable future by innovating advanced energy storage and high voltage distribution systems. They are seeking a QuickBooks Accounting & Inventory Specialist to manage accounting transactions, inventory workflows, and ensure data accuracy within QuickBooks. The ideal candidate will support various departments and improve processes in a fast-paced engineering and manufacturing environment.

Responsibilities
Enter and maintain accounts payable (AP), accounts receivable (AR), and general ledger transactions in QuickBooks
Process bills, invoices, purchase orders, credit memos, and vendor payments
Reconcile bank accounts, credit cards, and vendor statements
Track job costs and assist with customer billing and project‑based accounting
Maintain accurate month‑end and year‑end records and support external accountants as needed
Maintain all inventory records in QuickBooks, including receipts, adjustments, transfers, and BOM changes
Work with engineering and production teams to ensure accurate part numbers, revisions, BOM structures, and costed bills
Support cycle counts and investigate quantity discrepancies
Coordinate with suppliers on purchase orders, delivery dates, and incoming materials
Monitor inventory levels and help prevent stockouts or over‑purchasing
Assist with production kitting, material planning, or job traveler updates as needed
Improve data entry workflows, documentation, and file organization
Create and manage internal reporting dashboards for inventory valuation, spending, and job costs
Support compliance documentation for audits, customer requirements, or internal QMS procedures
Collaborate with engineering, purchasing, manufacturing, and leadership to maintain smooth daily operations
Qualification
Required
3–5+ years experience with QuickBooks Desktop or Enterprise
Experience in a manufacturing, electronics, automotive, distribution, or inventory‑based environment
Strong understanding of accounts payable, accounts receivable, and basic bookkeeping principles
Experience with inventory tracking, BOMs, POs, and part number systems
Excellent organizational and time‑management skills
Strong communication skills and ability to work cross‑functionally
Proactive problem solver with a strong attention to detail
Ability to thrive in a fast‑paced, agile environment
Preferred
QuickBooks Enterprise Advanced Inventory
Purchasing or supply‑chain coordination
BOM structures, engineering change control, or revision tracking
Familiarity with electrical components, wiring, or manufactured assemblies
Experience supporting prototype builds or low‑volume manufacturing environments
