Responsibilities
Manages billing across 16+ clients with unique billing protocols
Oversees billing process including project setup, QBO invoice creation, job list updates, recording payments, AR analysis, weekly audits of folders and job list, daily reports through multiple client portals, approval communication with clients, and client submission
Uses 8+ systems (Service Channel, Lessen, Corrigo Pro, Circle K, Ariba, QBO, Tango, Dropbox)
Manages QBO project setup, job list updates, invoice creation, documentation, and A/R reporting
Prepares, formats, and submits customized A/R reports per client (e.g., Aspen, Concentra, Best Buy, Interstate, etc.)
Handles notarized forms, lien waivers, multiple invoice versions, and split billing by job
Supports day-to-day accounting transactions for Ivory Property Restoration
Monitor outstanding payments, including uncashed checks or unprocessed credit card charges. Follow up with vendors who have not submitted invoices or completed payment processing within a timely manner
Qualification
Required
5+ years of working on a Billing Analyst or similar accounting position
Good practical experience with electronic billing procedures
Advanced knowledge of MS Office? particularly Excel (spreadsheets, VLOOKUP's, etc.)
Familiarity with databases and SQL
Strong communication and teamwork skills
Good organizational and time-management skills
Preferred
Bachelor's degree in accounting or related field is strongly preferred
