Responsibilities

Schedule and manage meetings across various time zones to optimize the senior leaders' time management
Organize domestic and international travel, including booking flights, accommodations, and transportation, and handle visa applications when necessary
Perform general administrative duties to support daily department operations and facilitate coordination within the team
Manage and prepare expense reports in compliance with the company's travel and entertainment policies
Oversee departmental purchases, invoice payments, and purchasing card reconciliation, ensuring adherence to budget and finance policies
Plan and coordinate on-site and off-site events, including logistics, guest speakers, catering, and venue bookings
Create and edit presentations, reports, and other communications for senior leaders
Maintain and distribute agendas for various recurring team meetings
Manage various administrative programs and utilize spreadsheets or databases to monitor departmental information
Conduct research on complex issues and provide insights to senior leaders
Serve as a liaison with internal and external stakeholders to ensure effective communication and collaboration

Required

Administrative experience within a corporate or government environment; experience interfacing with senior management and customers
Ability to manage multiple tasks and collaborate effectively with teams across different locations
Detail oriented and highly organized
Maintain a high level of confidentiality and discretion
Proficiency in Microsoft Office Suite, particularly Outlook and PowerPoint
Excellent oral and written communication skills in English
Strong team player with a results-driven mindset and high energy levels
