IT Project Operations Coordinator

The IT Project Operations Coordinator is responsible for supporting and coordinating the operational execution of IT projects and initiatives across the organization, ensuring effective planning and successful delivery of IT work.

Responsibilities
Coordinates and tracks IT project activities, timelines, milestones, and deliverables across multiple concurrent initiatives
Provides clear, timely status updates, dashboards, and reporting to IT leadership and Strategic Project Managers
Utilizes project and work management tools (Jira, Asana, Azure DevOps (ADO), Smartsheet, Excel) to track progress, manage dependencies, and support analysis
Performs IT capacity and resource planning to ensure effective allocation of technical resources across approved projects and operational work
Partners with technical leads to develop and maintain detailed Work Breakdown Structures (WBS) for approved initiatives
Supports issue and risk management processes, including escalation tracking and coordination to ensure timely resolution
Assists with effort estimation for tasks and deliverables to support accurate project planning and forecasting
Collaborates with the Strategic Projects team on project intake, prioritization, and pipeline planning activities
Creates, tracks, and manages Change Requests, ensuring proper documentation, approvals, and communication in alignment with governance processes
Supports continuous improvement of IT project coordination, reporting, and governance practices
Consistently makes decisions in an attentive and safe manner to ensure the safety and health of self and others
Utilizes LEAN concepts or other continuous improvement methodologies to ensure the most efficient operations, processes, and activities
Promotes and models the Company mission, vision and values through exercising sound and ethical business practices, championing all elements of diversity, equity, and inclusion (DEI) and providing high quality services and programs as they relate to clients, subcontractors, co-workers, suppliers, and the public
Qualification
Required
Bachelor's degree in Information Technology, Computer Science, or equivalent experience in a related field
4+ years of experience in IT project coordination, project administration, or a similar role
Strong understanding of IT systems, software development life cycle (SDLC), and infrastructure projects
Strong proficiency with project and work management tools, including Jira, Asana, Azure DevOps (ADO), Smartsheet, Smartsheet Resource Manager, and advanced Excel
Demonstrated expertise in capacity planning, resource management, and effort estimation
Ability to develop, maintain, and manage Work Breakdown Structures (WBS)
Experience managing Change Request workflows within structured governance environments
Ability to work effectively with cross-functional technical teams and senior stakeholders
Exceptional organizational, time management, and communication skills
Preferred
Preferred Certifications: Certified Associate in Project Management (CAPM); Project Management Professional (PMP); Agile, Scrum, or other relevant project management certifications
