Front Desk Coordinator

Responsibilities

Oversee the check-in process, manage visitor access, and maintain building security by approving vendor access and ensuring Certificates of Insurance (COIs) are up-to-date
Handle Jira tickets, maintain dog registrations, and assist employees with office-related inquiries
Monitor Slack channels and answer related questions
Stock printer areas and conference rooms with necessary supplies, monitor office supply usage, place orders, and coordinate weekly supply deliveries based on consumption
Assist with space planning activities, including office moves, hotel seating arrangements, and space assignments. Update floor plans and ensure data accuracy for space utilization metrics
Manage daily conference room organization, ensure rooms are stocked, and that A/V equipment (like TVs and sound systems) is functioning properly
Address employee concerns and requests regarding Workplace
Prepare and communicate team initiatives, such as group lunches, All Hands meetings, and other company events
Manage new hire badge creation, issue temporary badges as needed, and deactivate badges for terminated employees
Assist in maintaining the overall appearance and organization of the office
Research and execute ad hoc projects as assigned, track progress, and provide regular updates
Keep Workplace intranet pages and content up to date
Manage package deliveries, including logging, organizing, and notifying recipients
Perform other related duties as assigned to support the office and team

Required

Minimum of 2 years of experience in a corporate or hospitality setting
Excellent communication skills and interpersonal skills with acute attention to detail
Ability to be responsive and resourceful and work across teams
Creative problem solving

You are self-motivated, thorough, and able to anticipate the needs of your team and the space
Hands on, comfortable and willing to move small to medium sized items, like desks, tables and boxes (up to 30 lbs)
This job may require occasional late hours, so you must be flexible
Prolonged periods of sitting at a desk and working on a computer
Must be able to lift up to 15 pounds at times
