DFW- Office Manager

Nippon Express Company, Ltd. is a global logistics provider headquartered in Tokyo, with a significant presence in the U.S. as Nippon Express U.S.A., Inc. The Office Manager will be responsible for overseeing office operations, managing administrative procedures, and supporting HR functions while ensuring compliance with company policies.

Responsibilities

Plan, coordinate, and manage administrative procedures and systems
Oversee office operations and ensure compliance with company policies and regulations
Maintain accurate records, databases, and filing systems (both electronic and physical)
Prepare and edit reports, presentations, correspondence, and other documents as required
Manage schedules, appointments, and meetings for management and staff
Supervise and support administrative staff, delegating tasks as needed
Handle inquiries from employees, clients, and vendors in a professional manner
Monitor office supplies and place orders when necessary
Assist in budgeting, expense tracking, and financial reporting
Support HR functions such as onboarding, maintaining personnel records, and coordinating training
Identify and implement process improvements to enhance efficiency and productivity
Answer and direct phone calls, take messages, and respond to inquiries professionally
Perform general clerical duties such as photocopying, scanning, and mailing
Handle sensitive information with discretion and maintain confidentiality
Support special projects and other duties as assigned
Provide high-level support to the Accounting and Administration department
Perform other duties as assigned by the General Manager

Required

Proven experience in an administrative or office management role
Strong organizational skills with the ability to multitask and prioritize effectively
Excellent written and verbal communication skills
Proficiency in Microsoft Office Suite and office management software
Ability to work independently as well as collaboratively in a team environment
High level of discretion, integrity, and professionalism

Preferred

High school diploma or equivalent; additional relevant education or significant related work experience preferred
