Responsibilities
You will act as the primary systems administrator and automation owner across our core platforms
Automation and rule management
SLA improvements and routing logic
Macro development and optimization
Ongoing QA to improve response speed and resolution
End-to-end lead flow ownership from first touch to close or nurture
HubSpot automation design, maintenance, and weekly audits
Single admin owner for HubSpot workflows, sequences, and alerts
Clear lead status definitions so no lead ever stalls
Automated follow-up until one of three outcomes occurs
Purchased a starter kit
Actively disqualified
Marked for long-term nurture
Weekly audits to confirm zero untouched leads
Standardized intake framework so Apollo can assess lead intent fast
Defined search criteria by vertical, role, company size, and buying signals
Clean and fast Apollo to HubSpot handoff with accurate data mapping
Immediate enrollment into the correct HubSpot automation
Feedback loop from sales back into Apollo to improve targeting over time
Zapier, Lovable, and other tools as needed
Klaviyo segmentation tied to onboarding behavior and lifecycle stage
Attribute onboarding actions directly to Klaviyo user accounts
Support coaching calls, webinars, and post-purchase workflows
Every lead is followed up with until revenue is realized or a clear decision is made
Sales spends less time on manual work and more time closing
Support operates faster with better automation and macros
Systems are clean, documented, and resilient
The business scales without adding chaos
Qualification
Required
Demonstrated hands-on experience administering Gorgias and HubSpot
Strong understanding of CRM automation, workflows, and QA
Comfortable owning systems end-to-end without hand-holding
Process-driven and allergic to broken workflows
Able to translate business goals into clean technical execution
Energized by speed, accountability, and measurable outcomes
