Responsibilities

Provide executive-level calendar management, travel coordination, and confidential inbox triage for senior leaders, ensuring priorities are clearly organized and followed up

Manage end-to-end purchasing activities: create and track purchase orders, obtain quotes, compare vendor proposals, and process approvals in the ERP

Serve as the primary point of contact for vendors—negotiate basic terms, resolve order issues, and maintain accurate vendor records and contract documents

Prepare and reconcile expense reports, process invoices, and coordinate with finance to ensure timely payment and accurate coding

Support ad-hoc administrative projects including event logistics, program supply procurement, and maintenance of shared documentation and SOPs

Maintain high standards of confidentiality and professionalism when handling sensitive information and stakeholder communications
