Human Resources Shared Services Administrator

Carlex Glass America, LLC is seeking a Human Resources Shared Services Administrator to support core HR operations. This role involves providing administrative, analytical, and system-based support across payroll, HRIS, and leave administration, with a focus on benefits administration and compliance.

Responsibilities

Provide administrative and clerical support to the Human Resources department, including filing, correspondence, data entry, and record maintenance
Coordinate interviews, assist with employment testing, and support new hire onboarding and orientation
Maintain accurate, confidential team member records and HR documentation
Assist with the development, review, and maintenance of job descriptions
Respond to and filter team member HR and benefits-related questions
Audit team member benefit provider invoices against HRIS reports to ensure accuracy in premiums, coverage tiers, and team member data
Document audit findings clearly and concisely in preparation for system integration and corrections
Assist team members directly with benefits questions and enrollment support
Enter and maintain benefit data in HRIS and vendor systems
Manage the full leave of absence process for team members, including intake, tracking, and documentation
Serve as primary contact for leave communications with team members and leaders
Maintain leave records in the vendor platform and HRIS
Administer FMLA and other leave paperwork, ensuring policy and regulatory compliance
Track leave hours and coordinate benefits continuation, including collecting payments when applicable
Prepare and process payroll for hourly and salaried team members
Perform data entry and maintenance within HRIS, payroll, and benefit systems (e.g., UKG/Ultipro)
Maintain and support HRIS Business Intelligence functions, including report writing, queries, and user support
Prepare reports and written communications as needed
Support Finance with accounts payable tasks, as required

Required

High School Diploma or equivalent required
Ability to learn and follow procedures while working safely in a manufacturing environment
Ability to give full attention to what other people are saying to better motivate, develop, and direct people as they work, while identifying the best people for the job
Ability to tell when something is wrong or is likely to go wrong and apply general rules to specific problems to produce answers that make sense
Must be willing and able to work all available shifts
Valid driver's license required for business travel
Regular and predictable attendance required
Cooperate within teams to carry out tasks and responsibilities
Off-schedule hours may be required as work load or projects dictate, including weekends and holidays
Exceptional attention to detail and documentation accuracy
Strong analytical and auditing skills, particularly in benefits and HRIS data
Ability to research system issues and recommend viable solutions
Strong written and verbal communication skills
Ability to work independently and manage multiple priorities
Professional interpersonal skills to effectively interface with all levels of the organization
Superior coordination and organizational skills

Preferred

Bachelor's degree in Human Resources, Business Administration, or related field preferred
Degree requirement may be waived with equivalent experience in advanced HR, benefits, insurance, payroll, or healthcare administration
3–5+ years of experience in Human Resources, Benefits, Payroll, or HR Administration preferred
Proficiency in Microsoft Office (Excel, Word, PowerPoint); advanced Excel skills preferred
