VP of Administration

The VP of Administration will manage projects and assist with the administration of corporate functions, overseeing strategic initiatives and enhancing the company's operational infrastructure.

Responsibilities

Plan, organize, direct, and coordinate assigned administrative and project management functions of the Company, including:
Define, update, and maintain operating policies and procedures to ensure compliance with best practices, investor requirements, and laws and regulations; assist with the overall administration of the Company’s policies and procedures, including initial approvals and annual certifications
Facilitate the Company’s vendor management program through the coordination of initial and critical risk reviews, approval tracking, screening against sanctions lists, and managing the annual certification process
Assist with various corporate administration functions including, but not limited to:
Maintenance and renewal of corporate insurance policies and bonds
Create and maintain certain Company forms and templates
Updating and enhancing the Company’s SharePoint site
Maintaining and updating content on the Company’s website(s) in coordination with the executive management team
Assisting with internal and external communications
Work with the executive management team to develop, manage, and implement strategic initiatives of the Company
Develop and lead the Company’s efforts pertaining to requests for proposals (RFP) and requests for information (RFI)
Manage strategic initiatives of the Company across all functional areas of the organization; assemble project teams, prepare detailed project plans and timelines, and facilitate communication and collaboration across project teams
Monitor and track project progress; document project requirements, prepare progress reporting, and maintain transparent communication with project team and executive management
Develop and maintain relationships with partners, stakeholders, and investors, including the Government Sponsored Entities (GSEs)
Assist the Chief Administrative Officer with coordinating internal audits, risk assessments, and other external ratings and reviews (e.g., S&P)
Develop administrative infrastructure and analyze current processes to recommend and implement procedural and/or policy changes to improve operations
Act as a liaison between departments, executive management, investors, and vendors and gain cooperation through discussion and persuasion
Ensure compliance with organizational policies and regulatory requirements
Other related duties/projects as assigned

Required

Bachelor's degree in business administration, finance, or related field; advanced degree or professional certification preferred
Minimum of 10 years of experience serving in project management, corporate administration, or operations, preferably in mortgage origination and servicing industry or financial services
Ability to work cross functionally
Ability to analyze complex information and develop solutions to complex problems
Excellent organizational and time-management skills with strong attention to detail; ability to manage multiple projects and complete deliverables within strict deadlines
Excellent verbal and written communication skills
Comfortable working in a high-growth and fast-moving environment with minimal supervision
Knowledge of applicable laws and regulations in the mortgage origination and servicing industry
Ability to safeguard Company and employee confidential information
Advanced knowledge of Microsoft Office Suite; experience with project management software is a plus
