Administrative Support Representative II

Detroit Land Bank Authority is seeking an Administrative Support Representative II to provide comprehensive administrative support to the construction team. The role involves managing documentation related to construction work orders, proposals, and invoices while ensuring smooth communication between departments.

Responsibilities

Process all construction-related work orders, proposals, and change orders in accordance with internal protocols
Review and route construction invoices for accuracy, contract compliance, and timely payment
Maintain and update construction-related records in Salesforce and internal tracking systems
Record and circulate construction meeting notes, capturing action items and follow-up tasks
Ensure the Phase Trackers are accurately maintained and updated with the latest project milestones and progress
Serve as a liaison between the construction team and other departments to support seamless communication and coordination
Coordinate with the Sales team to schedule and track buyer inspections, manage repair lists, and support warranty follow-up inquiries
Draft, compile, and distribute regular construction reports to internal and external stakeholders
Assist in preparing and organizing project documentation for audits, compliance, and project closeout
Support document accuracy across scopes of work, schedules, and contract terms
Track budget allocations and funding source utilization for specific construction tasks
Facilitate contractor communication and task coordination based on project needs
Organize and maintain digital and physical project files for audit-readiness and operational efficiency
Perform other administrative duties as assigned related to construction operations and cross-departmental coordination

Required

At least one (1) year of experience in construction administration, project coordination, property rehabilitation, or related field
Strong administrative and organizational skills with attention to detail
Proficiency in construction documentation and terminology
Strong written and verbal communication skills
Ability to manage competing deadlines and prioritize effectively
Competency with Microsoft Office Suite and construction-related software
Demonstrated ability to work both independently and collaboratively

Preferred

Degree or coursework in construction management, public administration, business administration, or a related field
Familiarity with Salesforce or similar project tracking tools
