Responsibilities
Own the master schedule for installations, major upgrades, and planned service events
Level resources across service team; coordinate travel plans and staffing assignments
Maintain a rolling 4-8 week 'lookahead' plan with staffing and shop demand visibility
Run a simple project stage model and enforce exit criteria (project scope confirmed, requisition issued with drawings, parts issued, fabrication complete and QC checked, site readiness confirmed, travel scheduled, installation finished, and project closed out)
Confirm customer readiness: access, shutdown window, utilities, safety requirements, contacts, and any site permits
Maintain a single constraints list (drawing gaps, parts shortages, shop capacity, customer readiness) with owners and due dates
Lead weekly project readiness review (Ops + Tech Services + Shop + Commercial as needed)
Coordinate pre-job packets: scope, requisitions, drawings, packing lists, checklists, site notes, contacts, and safety requirements
Track milestone completion and communicate updates internally and to customers (as aligned with Director of Service Operations)
Ensure customer satisfaction with completed work
Travel requirements for new projects/installations will require on-site presence on day-one of the project to ensure materials, resources, and all other support needs are met for the service team members. Travel expectations may be 30%-40%
Capture lessons learned and feed standardization opportunities
Qualification
Required
3+ years in service coordination, project coordination, scheduling, dispatch, or operations planning
Strong organizational and communication skills; comfortable driving accountability across functions
Familiarity with field service realities, fabrication constraints, and basic interpretation of drawings/BOMs
High discipline for documentation and follow-through; calm under pressure
Highly organized with attention to detail and a sense of urgency
Team-oriented, adaptable, and motivated to contribute to a growing, customer-focused company
Proficient in Microsoft Office (Word, Excel, Outlook, TEAMS)
