Career Development - Administrative Assistant

Los Angeles Film School is seeking an Administrative Assistant for their Career Development department. The role involves providing extensive administrative support to the Vice President of Career Development and the Compliance Manager, including scheduling, correspondence preparation, and event coordination.

Responsibilities

Heavy administrative assistance to the Vice President of Career Development
Schedule and maintain calendar for the Vice President of Career Development
Assist, edit and prepare correspondence for the Vice President of Career Development
Prepare and submit expenses for the Vice President of Career Development
Coordinate and assist in booking travel for the Vice President of Career Development
Assist Compliance Manager on projects, as needed
Support employment verification campaigns and regulatory reports with exclusion searches, incentive payouts, research and graduate outreach, as needed
Update departmental documents such as contact sheets, important dates, organizational flowcharts and Career Development Guide
Assist in scheduling departmental and inter-departmental meetings
Assist students and graduates with scheduling on our online platform, CareerConnect
Oversee Open Door walk-in hours for advisors
Greet students and guests as they arrive to see Career Development team members
Answer calls and emails on behalf of the department
Hire, schedule and supervise work study students. This includes overseeing work study duties such as CareerConnect announcements, Alumni Card production, etc
Act as point person on behalf of Career Development for on-campus equipment issues, housekeeping issues, building maintenance, and security
Collaborate with the Career Development team to deliver and work special events, such as Graduations, Career Fairs, Alumni Mixers, Workshops, Information Sessions, etc. (some weeknight evenings and weekends may be required)
Generate Zoom webinar registration links, polls, and reports for virtual Career Development events
Record event attendance and upload event/classroom surveys in CareerConnect
Support the Industry Relations and Alumni Relations teams with event e-mail blasts via CareerConnect and Mailchimp, as needed
Process invoices, EREQs, and start paperwork for event/special project hires
Create and disseminate weekly meeting agendas
Place and manage office supply orders, including department merchandise and collateral materials for Alumni Card distribution
Liaise with the school’s Marketing Department to create/update collateral materials for Career Development, update the website, Connect site, etc
Liaise and collaborate with faculty and staff; actively contribute to inter-departmental and/or company-wide meetings and projects, as needed
Represent the department at Open House presentations (two Saturdays per year)
Oversee Open House sign-ups/assignments
Manage conference room bookings on behalf of the department
Update, maintain, and disseminate departmental events calendar
Act as moderator and admin for Career Development’s student and alumni Facebook networking group
Additional duties and assignments as assigned by the Vice President of Career Development

Required

Minimum 3 years prior office/assistant experience
Bachelor's degree
Excellent written and verbal communication skills, with professional phone manner
Strong attention to detail, with a sharp proofreading eye
Stellar organizational skills, including time management, multi-tasking, and follow-through
Strong grammar and correspondence skills
Basic knowledge of entertainment industry environment and practices
Ability to work well under pressure, and to meet multiple, quick deadlines, and handle shifting priorities
Ability to take initiative and work independently, as well as part of a team
Ability to maintain professionalism and confidentiality with company/student information
Ability to effectively communicate with a diverse student population
Position requires discretion, patience, compassion, confidentiality, and tactful issue resolution
Strong proficiency with PC and Mac (MS Word, Outlook, Excel, PowerPoint, Keynote)
Strong research and internet skills, including Social Networking websites
Tech savvy and proficient in social media formats
Ability to learn new programs as required
Must be able to lift up to 10lbs

Preferred

Entertainment industry experience preferred (Film/TV/Music/Animation/Games)
Event planning experience, preferred
