Senior Program Coordinator
The Institute on Aging (IOA) is seeking a highly motivated and detail-oriented Senior Program Coordinator to support key initiatives within our Home Care & Support Services Division. This role is essential to the success of our operations and involves delivering exceptional service to clients, caregivers, and internal teams while managing various administrative and strategic tasks.

Responsibilities
Deliver best-in-class communication to internal and external stakeholders
Serve as a first point of contact for prospective clients, qualifying callers and supporting the sales intake process
Act as a primary liaison for caregivers, providing hands-on support with technology, systems, and role-related needs
Support Human Resources with Home Care Aide onboarding, including new hire orientation, training coordination, and compliance tracking
Provide ongoing compliance and training support to ensure regulatory and program adherence
Manage Long-Term Care Insurance (LTCI) processes, including invoice submission, coordination with insurance representatives, and responding to client inquiries
Support the development and implementation of strategic initiatives, tracking activities, milestones, and deadlines
Perform a range of routine to complex administrative duties in support of leadership, including the Vice President of Home Care & Support Services
Coordinate meetings, calendars, and priorities across multiple stakeholders
Attend meetings and events as needed to support program initiatives
Track and manage data related to caregiver compliance, client care, and program operations
Support team meetings and events by coordinating communications, scheduling, materials, venues, and logistics (including meals)
Coordinate procurement activities, including purchase requests, invoice processing, and ordering office and PPE supplies
Qualification
Required
Bachelor's degree from an accredited college or university required
Minimum 2+ years of experience in administrative support, elder care, customer service, or a related field
Experience supporting different levels of leadership
Strong customer service and relationship-building skills
Excellent verbal and written communication skills
Exceptional time-management and organizational skills
Proficiency in Microsoft Office and experience working with databases
Positive, collaborative, detail-oriented, and eager to learn
You're highly organized and comfortable managing multiple priorities and deadlines
You communicate clearly and professionally with people at all levels
You're confident handling confidential information with discretion
You enjoy working with diverse communities and teams across the Bay Area and beyond
You're adaptable, proactive, and excited to contribute in a growing program
Preferred
Experience in a nonprofit environment preferred
Microsoft Office: 3 years (Preferred)
Administrative: 2 years (Preferred)
