Responsibilities

Provide comprehensive administrative assistance to staff, managers, and partners
Brand, format, proofread, and finalize reports, proposals, and correspondence using Microsoft Office products such as Word, PowerPoint, Publisher, Excel and others
Draft professional correspondence and uphold brand standards
Coordinate office operations, including managing calendars, scheduling meetings, organizing events, sorting mail, etc
Coordinate and expedite FedEx, UPS and USPS mailings to include preparation of certified mailings as needed
Act as the primary contact for staff, visitors, and external partners
Answer and direct incoming business calls/inquiries (multi-line phone system) and email inboxes to ensure timely responses
Develop, update and maintenance of administrative systems to improve effectiveness and efficiency including workflow and others as needed or requested
This will include managing inventory of office supplies and equipment and on-site coordination of vendor visits and service appointments
Assist management with onboarding new employees and workstation set-up
Perform data entry, maintain electronic and physical filing systems
Support project coordination and ensure deadlines are met
Assist management as needed
Support company vehicle inspection routine, maintenance and repair as necessary

Required

Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and Adobe Acrobat
Ability to utilize and adapt to company software platforms and databases
Strong attention to detail, excellent organizational skills, and ability to prioritize tasks effectively
Exceptional written and verbal communication skills
Ability to work independently and as part of a team in a fast-paced environment

Preferred

Minimum 2 years of experience in administrative or office support roles preferred
