Responsibilities

Prepare and submit monthly progress payment applications (G702/G703) for AIA Billing

Ensure compliance with contracts, coordinate with project managers, handle lien waivers, resolve discrepancies, and ensure accurate progress payments

Set up new construction projects, manage contract changes, and input billing details in Spectrum software

Ensure adherence to contract terms, track lien waivers (conditional, unconditional), and manage insurance certificates (COIs)

Communicate with clients and project teams to resolve billing issues, answer inquiries, and obtain approvals

Monitor accounts receivable, follow up on overdue payments, track retainage, and assist with month-end close

Process and apply customer payments, including checks, ACH, wire transfers, and credit cards

Monitor and reconcile daily payment batches with accounting records, addressing and resolving discrepancies between payments and invoices

Maintain organized billing records, financial reports, and project files

Generate AR reports, including aging schedules and collections status, and maintain organized records of invoices, payments, and correspondence

Assist in preparing documentation for audits or compliance purposes, supporting month-end and year-end close processes

Monitor outstanding balances and follow up with customers on overdue accounts

Contact customers to resolve billing disputes and negotiate payment plans if necessary

Maintain professional and positive relationships with customers

Implement collection strategies to minimize outstanding balances and escalate unresolved accounts to management or legal teams as needed
