Responsibilities
Accurately enter and maintain calendar entries for court deadlines, hearings, motions, conferences, depositions, and EBT schedules in the firm’s case management system
Monitor and docket all court filings and schedule changes, ensuring compliance with procedural rules and timelines
Communicate with attorneys, paralegals, court clerks, clients, and opposing counsel regarding scheduling changes, adjournments, or cancellations
Manage EBT (Examination Before Trial) scheduling: confirm availability of court reporters, attorneys, and deponents; prepare notices; enter all related calendar events
Review calendars regularly to identify conflicts or potential oversights and escalate issues when necessary
Generate calendar reports and reminders to attorneys and staff for critical deadlines
Support docketing and filing tasks as needed, including e-filing through applicable court systems
Maintain organized and accurate records of all calendaring activity and related documents
Qualification
Required
Minimum 5 years of experience working as a calendar clerk, docketing clerk, EBT coordinator, or similar legal scheduling role — preferably in a law firm or litigation environment
Proficiency with legal calendaring and case management systems (e.g., PC-/MAC based systems, docketing software)
Strong understanding of court rules and deadline requirements for state and federal courts
Excellent organizational skills and ability to manage competing priorities in a fast-paced setting
Outstanding verbal and written communication skills
Strong attention to detail and commitment to accuracy
Professional demeanor and ability to interact with attorneys and external parties
Preferred
Paralegal certificate or legal administrative training
Familiarity with NY e-filing systems (e.g., NYSCEF, CM/ECF)
