Administrative Healthcare Supervisor

New England Cancer Specialists (NECS) is seeking a full-time Administrative Medical Supervisor for their Westbrook, ME clinic. The role involves overseeing the day-to-day functions of non-medical clinic departments, ensuring continuous coverage, and providing support and training to staff.

Responsibilities

Ensuring Coverage of PCCs, Reception
Provide coaching and direction to all direct reports, promoting and developing an environment of teamwork and continuous improvement. Schedule and facilitate regular meetings with each department
In collaboration with the sites Clinic Director, responsible for recruitment and employee relations activities
Coordinate onboarding activities of all new hires in assigned departments
Responsible for the proper training of all new PCCs, in accordance with the Demonstration of Competency for the role; Front Desk Staff with coordination from the Billing and Office manager; in coordination with the NECS Privacy Officer
Provides emergency backup coverage for assigned departments as needed. Will be able to fully cover those areas should the need arise
Manage day-to-day activities to ensure uninterrupted workflow in all areas of responsibility
Work collaboratively with Providers, Leadership team, Nursing, research, Laboratory, Pharmacy, Business Office, HR, Genetics and IT
Work directly with the sites Clinic Director to identify challenges and process improvement opportunities, developing and implementing effective solutions
Communicate needs of assigned departments to appropriate leaders
Work with the sites Clinic Admin Manager to identify and develop and/or training needs for assigned departments to support continuing education opportunities

Required

Associated Degree
Minimum of two years supervisory experience in a medical office
Willingness to learn and remain flexible in the changing healthcare environment
Ability to assist staff in times of crisis or emergency
Ability to conceptualize, develop and implement new ideas or systems
Ability to exercise sound judgment and discretion while performing duties
Ability to determine work priorities, assign work, and ensure proper completion of work assignments
Strong organizational skills and be able to manage multiple tasks at the same time
Self-starter, strong team player and leadership abilities, with strong customer service and communication skills, both written and verbal
