Recruiting Administrator

Haulotte US, Inc. is seeking a detail-oriented and proactive Recruiting Administrator to support and execute full-cycle recruiting while managing critical recruiting administration and onboarding functions. The role involves hands-on recruiting, ensuring compliance, and providing a positive candidate experience.

Responsibilities

Manage the end-to-end recruitment process including job descriptions, sourcing, screening, interviewing, and onboarding
Conduct virtual and/or in-person interviews and assess candidates’ skills, experience, and cultural fit
Process new-hire documentation including background checks, drug screens, I-9s, and E-Verify
Ensure systems are up to date with new-hire/termination information (Foederis, T-Sheets, etc)
Conduct and manage new-hire orientation
Manage company fleet operations, including company vehicles, fuel cards, vehicle assignments, and maintenance coordination
Develop and update job descriptions and job specifications in collaboration with department leaders
Source and recruit candidates using ATS platforms, databases, social media, and targeted outreach
Lead recruiting strategy to ensure optimal hiring outcomes across multiple roles and departments
Maintain accurate and up-to-date candidate records within the applicant tracking system (ATS)
Act as the primary point of contact for candidates throughout the hiring process
Promote the company’s reputation as an employer of choice
Maintain ongoing communication with candidates to ensure timely completion of onboarding requirements
Coordinate interview schedules, distribute calendars, and collect interview feedback
Maintain candidate profiles, status tracking, and recruiting data within Paycor Recruiting (or similar ATS)
Prepare, analyze, and deliver recruiting metrics and monthly recruiting reports
Track open requisitions and filled positions and maintain recruiting logs
Manage open job postings on the company website and external platforms
Support employee record maintenance and HR documentation as needed
Assist with HR projects including recruiting initiatives, process improvements, and special assignments
Serve as the primary administrator for the North America travel management system (NAVAN)
Coordinate employee travel profiles, permissions, and support for bookings and travel-related issues
Ensure compliance with company policies related to fleet usage and travel expenses
Act as a liaison with vendors related to vehicle management, fuel programs, and travel services

Required

Bachelor's degree in Human Resources or related field preferred, or equivalent work experience
Entry level position - must possess the necessary skills and abilities
<1 year experience with full-cycle recruiting strongly preferred
Strong verbal and written communication skills
Excellent interpersonal and organizational skills
Ability to manage multiple priorities and deadlines
Proficiency with Microsoft Office and applicant tracking systems (ATS)
Comfort working with systems related to travel, fleet, or vendor administration
Working knowledge of employment laws, recruiting best practices, and compliance requirements
Proactive, detail-oriented, and able to work independently
