Administrative Assistant
Ultimate Staffing is seeking a highly organized and detail-oriented Administrative Assistant to support multiple Trust Advisors. This role involves communication with various stakeholders and requires a compassionate professional who thrives in a mission-driven environment.
Responsibilities
Gain a thorough understanding of the company's culture, mission, and philosophy to effectively support trust services
Provide day-to-day operational and administrative support to Trust Advisors, including written and verbal communication and document processing
Act as a liaison between beneficiaries/their families and internal or external resources (banks, courts, attorneys, community services)
Log all activities (meetings, calls, emails, documents, etc.) into LEAP record‑keeping software
Support clients and families by identifying resources and coordinating services-not providing direct services
Offer informed recommendations to Trust Advisors based on client needs and relevant findings
Assist with front-office duties such as answering the main phone line, distributing mail, and managing incoming faxes
Perform filing, scanning, and document management to support trust and legal compliance
Maintain reliable and consistent attendance while following all scheduling and punctuality standards
Contribute to a positive work environment by collaborating respectfully and effectively with colleagues
Qualification
Required
Associate's or Bachelor's degree required
Strong interpersonal and communication skills with the ability to build trust while maintaining professional boundaries
Excellent writing, documentation, and problem‑solving abilities
High level of comfort working with legal, medical, and financial professionals
Ability to coordinate services across multiple stakeholders with professionalism and discretion
Highly organized, with strong attention to detail and the ability to prioritize effectively in a fast-paced environment
Demonstrates compassion, patience, and the ability to take direction and integrate feedback
Maintains confidentiality and professionalism when handling sensitive information
Preferred
Experience in a legal office or working with legal documents is a plus and highly valued
