Responsibilities
Sponsorship recruitment for individual events large and small
Assist with negotiations for space contracts and book event space, arrange F&B, order supplies and audiovisual equipment, make travel arrangements, order event signs, and ensure appropriate décor
Gather information on each project to achieve quality event productions
Research and find resources to help staff make decisions about event possibilities
Propose new ideas to improve the event planning and implementation process
Serve as liaison with vendors on event-related matters
Manage on-site production and clean up for events as necessary
Prepare event materials including layout, lists, etc as needed
Close out all events as required
Assist with preparing annual & event budgets
Provide progress reports to President & CEO and Board
Keep track of event finances including check requests, invoicing, and reporting
Coordinate appointments and scheduling of events on the calendar
Prepare and modify event contracts as requested
Assist in the planning and implementation of chamber programming
Responsible for working within event and marketing budget
Responsible for non-dues revenue programming/events including workshop and luncheon programming
Knowledge of all Grundy County Chamber benefits; field membership benefit questions
Coordinate with staff on marketing, news releases, and all Grundy County Chamber publications
Assist with office coverage
Create, recruit and manage a Special Events committee as needed
Special attendance required at all Chamber events, expos and outings; in addition to: New Member Orientation, connect@4, Coffee & Company, Chamber Luncheons, Special Event Committee Meetings, Participation in grand openings, ribbon cutting ceremonies and other membership events
Other duties as assigned by the President & CEO
Qualification
Required
Must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision, and be willing to work occasional evenings and weekends
This position is required to support strategic marketing and development efforts within the Chamber
Incumbent should have a love for special event management, provide outstanding customer service, be an enthusiastic professional, and be able to build relationships with internal and external customers
Strong verbal skills are an absolute necessity
Computer experience and some specific program knowledge is required
Individual must be able to work independently
At least 1 year experience successfully coordinating special events
Excellent communication skills, including writing, proof reading skills, and speaking
Ability to manage multiple projects and work assignments from a variety of staff and volunteers
Excellent interpersonal skills both in person and by phone, with high professionalism
Ability to accomplish projects with little supervision
Fantastic customer service ethic and high expectations for quality
Preferred
Bachelor's degree preferred; significant work experience can substitute for the degree
Proficiency use of Canva, Publisher and Excel preferred
