The Texas Department Of Criminal Justice is seeking an Administrative Assistant III for their Communications team in Huntsville, Texas. The role involves providing complex administrative support, including disseminating information, maintaining filing systems, and preparing reports and documents under general supervision.

Government Administration

Responsibilities

Participates in the planning and implementation of agency Communications programs and activities; assists in the development of administrative and technical assistance policies and procedures; and reviews and seeks solutions to problems
Prepares, edits, and distributes correspondence, reports, studies, forms, and other documents; prepares and disseminates information concerning agency programs, operations, and services; prepares and disseminates daily news summaries; and responds to inquiries regarding rules, regulations, policies, and procedures
Compiles and organizes data, makes calculations, and prepares related documents, reports, and files; maintains library of media and legislative issues and Texas news media records; and maintains record keeping and filing systems to include automated information systems
Provides assistance in research, development, and revision of agency publications, forms, manuals, and reports; assists in the preparation of presentation material; and coordinates work with organizational units of the agency, other agencies, and organizations
Provides technical assistance to others regarding the program area
Performs a variety of marginal duties not listed, to be determined and assigned as needed

Required

Graduation from an accredited senior high school or equivalent or GED
Two years full-time, wage-earning customer service, clerical, secretarial, administrative support, or technical program support experience
Fifteen semester hours from a college or university accredited by an organization recognized by the Council for Higher Education accreditation (CHEA) or by the United States Department of Education (USDE) may be substituted for each six months of experience
Knowledge of office practices and procedures
Knowledge of business terminology, spelling, punctuation, and grammar
Skill to communicate ideas and instructions clearly and concisely
Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public
Skill to interpret and apply rules, regulations, policies, and procedures
Skill in problem-solving techniques
Skill in the use of computers and related equipment in a stand-alone or local area network environment
Skill in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs
Skill to review technical data and prepare technical reports
Skill in basic writing techniques
Skill to prepare and maintain complex records and files in an automated system
Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 15 lbs., perceive depth, operate a motor vehicle, and operate motor equipment
Conditions include working inside, working around machines with moving parts and moving objects, radiant and electrical energy, working closely with others, working alone, working protracted or irregular hours, and traveling by car, van, bus, and airplane

Preferred

Computer operations experience preferred
Media relations or legislative experience preferred
Knowledge of news media, major media outlets, and media deadlines preferred
Knowledge of social media platforms, writing style, and basic analytics preferred
Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred
