Office Manager / Contract Administrator
NextGen Apartments is a multifamily development and construction company based in Arizona, seeking an experienced contract administrator/office manager. The role involves managing contract administration, development coordination, and construction documentation to ensure projects are organized and compliant throughout the development and construction process.
Responsibilities
Own contract administration across multiple multifamily projects, including:
Prime contracts, consultant agreements, and subcontract agreements
Amendments, exhibits, and change orders
Maintain contract logs, compliance trackers, and critical milestone schedules
Manage lien waiver collection, tracking, and close-out in accordance with Arizona lien requirements
Track and maintain insurance certificates, W-9s, bonding (as applicable), and vendor compliance
Coordinate with legal counsel, lenders, title companies, and internal stakeholders on contract-related matters
Serve as a primary administrator for Procore, ensuring:
Accurate and timely document control
Organized workflows for subcontracts, change orders, and pay applications
Oversee subcontractor onboarding, compliance uploads, and approvals
Track pay applications, lien releases, and contract close-out documentation
Support the construction team with reporting, document retrieval, and audit-ready records
Maintain organized records for due diligence, approvals, and project correspondence
Assist leadership with development timelines, milestone tracking, and internal reporting
Coordinate with accounting on:
Invoice processing and approvals
Contract values vs. billed amounts
Pay application support and reconciliation
Assist with cost tracking, budget organization, and reporting support
Ensure documentation aligns with lender and audit requirements
Build, refine, and maintain internal systems for:
Contract tracking
Compliance management
Document control
Act as a point of accountability for development and construction documentation
Support senior staff or external vendors as needed
Provide ad-hoc support to senior leadership as projects evolve
Qualification
Required
5+ years of experience in development, construction administration, or contract administration
Direct experience supporting ground-up development projects strongly preferred
Working knowledge of Arizona lien law, construction contracts, and compliance workflows
Strong proficiency with Procore, Microsoft Excel, Word, and document management systems
Experience coordinating with attorneys, lenders, title companies, and municipalities
Highly organized, detail-oriented, and comfortable managing multiple active projects
Professional communication skills with confidence working alongside senior leadership
High ownership mentality with the ability to improve systems and processes
