Unit Secretary-Seneca Hill Manor

Responsibilities
Greet visitors and direct them to appropriate departments or individuals
Initiate/complete chart forms for admission, transfer, discharge, and expired residents
Maintain charts in proper order
‘Thin’ charts as necessary and maintain the overflow file
Perform ongoing monitoring of charts for accurate and timely documentation (i.e. MD orders signed)
Answer phones and take messages as needed or seek appropriate staff to answer questions
Maintain unit reference materials in order; filing policies/procedures in the proper manual
Perform typing, filing and copying for the Nurse Manager as directed
Place lab orders in Meditech
Assist with scheduling transport aides
Maintain inventory of unit supplies, forms, etc., and order supplies as needed
Maintain confidentiality of all resident information
Read and sign for memos in memo book in a timely manner
Schedule appointments and procedures for patients and copy appropriate documentation to send with resident
Maintain accurate records of all upcoming patient appointments
Arrange appropriate transportation for patient appointments
Maintain tracking system for all lab/diagnostic testing including repeat tests ordered
Maintain schedule for monthly renewals
Answer resident call bells and direct requests to appropriate staff
Update unit lists, forms, etc. as needed
Document all pertinent information regarding transportation arrangements and appointments in the resident chart as instructed
Take messages in a courteous efficient manner and relay the messages promptly
Notify other departments of resident changes/issues as directed by the Unit Manager
Maintain the nursing station in an organized and neat manner
Assist with passing trays as needed
Assist podiatrist and dentist as needed
Fill in for unit secretaries on other units as needed (i.e. for vacation time, sick days, etc.)
Perform other duties as assigned including providing assistance to other units as requested
Qualification
Required
Excellent oral and written communication skills
Ability to work independently as well as directed by Unit Manager
Demonstrates autonomy, organization, assertiveness, flexibility and cooperation in performing job responsibilities
Demonstrated ability of conflict resolution and problem solving
Organized and professional demeanor
Comprehension of residents rights and abuse reporting regulations
High School or GED required
Requires the completion of 12 hours' in-service education annually
Participates in in-service education and competency-based activities as indicated
Exposed to infections, odors, and peculiarities in the behavior of aged residents
Prolonged periods of standing, walking, bending, stretching, lifting, pushing and pulling during the work day
Requires pushing beds, wheelchairs and recliners in excess of approximately 200 pounds with assistance
Requires lifting, carrying, repositioning and transferring residents who may weigh in excess of 200 pounds
Preferred
CNA certification preferred
Computer experience preferred
