They are seeking an Administrative Assistant/Receptionist to support the office by managing communications, coordinating office activities, and assisting with administrative tasks.

Responsibilities

Provide front-desk coverage by answering phones and greeting customers and visitors, managing incoming/outgoing mail and shipments, filing, and maintaining an organized office environment

Provide day-to-day administrative support to employees by responding to email correspondence, generating and distributing letters, spreadsheets, forms, and faxes

Plan, organize, and schedule group meetings and office activities

Make travel arrangements and complete expense reports

Answer employee questions related to company policies and procedures

Work closely with human resources at headquarters to coordinate new hire onboarding and employee offboarding at the Phoenix office

Coordinate office equipment, supplies, and setup for Phoenix employees with our IT department at headquarters

Maintain lab equipment and manage shipments

Manage facility needs related to HVAC, lighting, and security equipment with the property manager

Qualification

Required

High School diploma or GED equivalent from an accredited institution

Minimum one year of experience working in an administrative/receptionist or customer support role in an office environment

Microsoft Office skills (i.e. MS Outlook, Word, Excel)

Excellent written and verbal communication skills

Organizational skills, including the ability to work independently and multitask

Preferred

Office IT laptop/computer wiring experience

Experience working with an ERP system

Basic understanding of purchasing requisitions and purchase orders

Technical writing, document control, and coordination experience
