Responsibilities

Manage executive calendars, scheduling, and meeting coordination
Organize inboxes and ensure timely communication follow-through
Draft, edit, and format professional correspondence and reports
Prepare presentations, spreadsheets, and materials for meetings and reviews
Assist with client onboarding and lifecycle documentation
Prepare meeting agendas, review materials, summaries, and follow-up items
Track expenses, reimbursements, and operational financial records
Maintain accurate client records within financial CRM platforms
(e.g., Redtail, Wealthbox, Orion, Black Diamond, Advyzon, ClientWorks)
Handle sensitive documents using secure and approved systems
Maintain organized filing systems aligned with retention and compliance standards
Support adherence to regulatory and internal process requirements
Improve workflows, checklists, and operational procedures
Coordinate travel, events, and logistics as needed
Act as a professional point of contact for clients, vendors, and partners
Handle confidential and high-net-worth client information with discretion
Support recurring tasks and special projects that advance client objectives

Qualification

Required

3+ years of experience in financial services (wealth management, advisory, investment, or similar)
At least 1 year of executive assistant or senior administrative experience
Working knowledge of financial terminology and concepts
Experience with financial CRMs and industry-specific platforms
Strong written and verbal communication skills
High level of accuracy and attention to detail
Ability to manage multiple priorities independently
Availability during standard U.S. business hours (Monday–Friday)
Reliable computer, high-speed internet, webcam, phone, and dedicated workspace
Willingness to participate regularly in video meetings
Preference for candidates able to commit for 12 months or longer
