Capital Projects Specialist
Chapman University is seeking a Capital Projects Specialist responsible for coordinating and supporting capital improvement projects from conception through execution. The role involves ensuring projects meet objectives, budgets, and schedules while collaborating with project managers and campus constituents to address challenges and deliver successful outcomes.
Responsibilities
Support project managers on Major Projects; implement Minor Projects with overview by supervisor
Track and document active projects. Handle intake processes. Document project scope and objectives, timelines and milestones, risks (via risk register), open design issues. Coordinate schedules. Monitor budgets, next steps, and deliverables. Handle project close-outs
Review consulting, design, and construction packages for completeness and adherence to project requirements and parameters
Coordinate technical reviews at key milestones and coordinate timely authorization to proceed with applicable project phases
Take initiative and identify risk and opportunity areas, develop mitigation plans, and implement strategies to minimize disruptions
Perform QA/QC on assigned projects, including contractors’ submittals; ensure conformance with contract scopes and terms
Monitor project costs against budgets and inform project managers
Maintain design and programmatic objectives
Assess progress, flagging cost and schedule variances, early warnings, gaps in project staffing, and developing corrective action plans
Research, interpret information, and propose solutions to problems and to achieve project objectives and design excellence
Coordinate with internal “campus clients,” internal and external project teams, and external staff to address ongoing project requirements
Foster relationships and cultivate partnerships through onsite collaboration with project teams and partners to enable delivery and excellent outcomes
Maintain strong communication across teams leveraging excellent written and verbal skills
Create and/or review project schedules. Analyze resource-loaded schedules. Integrate multiple schedules for key hand-offs and coordination activities
Perform Critical Path analyses to assess project performance. Monitor and document progress. Generate status reports
Employ best practices in integrated planning, scheduling, and baseline project management processes and tools
Deploy approved recommendations at divisional and campus levels as directed by supervisor
Qualification
Required
Bachelor's degree in architecture, construction management, engineering, interior design, or related field from an accredited degree program
Five or more years of proven experience in coordinating complex, integrated, resource-loaded schedules, and Critical Path Method scheduling techniques for design and construction projects
Superior organizational, written, and verbal communication skills
Ability to build strong working relationships with project teams and department staff
Must be local to Southern California
Preferred
Knowledge of Revit preferred
Knowledge of GIS a plus
