Responsibilities
Track artist task progress and identify potential blockers
Flag issues and risks to Department Supervisors, Department Managers, and Production Managers as needed
Enter and maintain notes in Flow, ensuring accurate updates to tasks, versions, and shot statuses
Conduct daily check-ins with artists and document progress in Flow
Run and support dailies by creating playlists, entering notes, and communicating feedback across departments
Prepare and manage deliveries for the editorial team, including playlists, delivery notes, and ticket creation
Coordinate major scope or schedule changes with the Production Manager
Support insourcing efforts and track related tasks and deliverables
Liaise with clients to request, track, and follow up on required or missing elements
Organize and manage meetings, ensuring clear communication and follow-through
Coordinate catering for events and client visits
Manage kitchen operations to support on-site artists
Run occasional errands to support on-site artists and client visits
Act as the primary point of contact with internal Folks services, including Support, Facilities, and IT
Qualification
Required
Previous experience in a VFX environment
Understanding of VFX production workflows, pipelines, and terminology
Experience working with production tracking tools (Flow preferred; ShotGrid or similar a plus)
Excellent organizational skills with the ability to manage multiple priorities in a fast-paced environment
Strong written and verbal communication skills
Comfortable interacting with artists, supervisors, and managers
High attention to detail and ability to maintain accurate production data
Proactive, solution-oriented mindset with strong follow-through
Comfortable working full-time on-site and supporting office operations as needed
