Community General Manager

Responsibilities

Maintain a relationship with the Association and Board of Directors
Provide leadership, oversight and direction to the property management teams to ensure strict adherence to all applicable standard policies, procedures, and programs
Possess effective communication skills and ability to give presentations, lead meetings, and be available to attend Board meetings and actively participate in resident events. This may involve working in the evenings and weekends as needed
Analyze and keep current with industry concepts, practices, procedures and fully align with national brand concepts
Demonstrate ability to apply principles of logical thinking to define problems, collect and analyze pertinent data, establish facts, draw valid conclusions, and initiate appropriate course of action
Effectively convey ideas, images, and goals to a diverse group of personalities and hold them accountable for desired outcomes
Exercise a positive attitude and remain professional under all circumstances
Work closely with local Minto Departments involved in the development of the community
Work closely with the management company that provides services to the Association
Working knowledge of Federal and State laws governing the operation of community associations, and application of same
Review and final approval of all expenses to ensure timely payment to avoid penalties and apply discounts when available
Review and approval of deficit funding requests
Review and approve Association cash flow projections, prior to submission, on a monthly, quarterly & annual basis
Understand and analyze financial goals, operate assets in owners’ best interest in accordance with Board policies
Review and supervise the Property Managers in various tasks, including the preparation of the annual budgets in a timely and accurate manner
Review and interpret reserve analysis and advise on funding
Provide oversight for vendor/contractor communications concerning scheduling, billing, vendor relations and certificates of insurance
Respond to escalated owners and residents’ inquiries, concerns and issues and resolve them in an orderly and efficient fashion in conjunction with the management company, the on-site association personnel and Minto Communities
Ensure that the amenities are fully activated to standard and on time every day
Ensures the confidentiality and maintenance of all crucial documents from owners, tenants, residents, and lawyers
Support Food and Beverage personnel with daily direction and leadership in the areas of quality control, driving menu creation, COGS, inventory process, quality control, proper scheduling/hiring, and service standards. Responsibilities may include working in various roles within the restaurant as needed
Manage vendor relationships and accountability for support at large events
Support and provide direction to on-site management to prepare packages and mail outs to the Board of Directors and residents for upcoming meetings and assist the Association Manager with financial and management reports
Assist in managing the Association turnover process with assistance of the Management Company
Institute a system to ensure miscellaneous license renewals are completed within statutory timelines and inspections on the buildings, alarms, elevators, common area structures, etc. are completed on the required frequency
Support property engagement through effective updates of Community Website and communications
Support services for Minto related tasks that may include home sales related functions and stay and play involvement
Routine weekly inspections to ensure community appearance meets Minto standards in regard to 'like new condition' cleanliness, landscaping, security procedures, and lake management, providing routine service audits with feedback given to management company
Ensure Minto values and standards are maintained across the community
Other duties within the scope, spirit and purpose of the job, as requested by management

Required

A Post-Secondary Education is desired
A Community Association Manager license is required to be obtained within 60 days of employment
A minimum of five to ten (5-10) years of relevant management experience in condo-hotel, resort, or complex communities
Food and beverage management experience is required
Food and Beverage Management Experience
Event Management experience
Knowledge of basic financial analysis and accounting skills
Customer-service focus
Resort experience
Understand financial goals, operate assets in owners' best interest in accordance with Board's policies
Review and supervise Property Managers in preparation of the annual budgets in a timely and accurate manner

Weekly invoice approvals required
Monthly financial reviews with the Board of Directors
Understanding of social events and how to successfully oversee and execute large (1500+) parties
Strong financial acumen in the world of costing and budget control on direct expenses in relation to menu pricing
Ability to hire, train, and manage kitchen, bar, and serving management and staff
Ensure facilities use for events is balanced and communication between Lifestyle and Food and Beverage departments is consistent and strong
Consistently use successful techniques and Company directives to screen, hire, orient and train new personnel
Build strong, effective teams through ongoing supervision, training, coaching, counseling and leadership
Create a culture of excellence by being present in meetings and hands on in daily operations
Ensure proper response and handling of all community emergencies through training with staff, residents, buildings, etc., within Company guidelines to minimize liabilities
Ensure compliance with all Company, local, state and federal safety rules
Review and periodically inspect property with Management Company
Evaluate operations efficiency and recommend necessary changes to the Management Company for execution
Introduce and recommend policies, procedures, and programs that will assure a well-managed, well-maintained property
