Operations Coordinator

North Alabama Agriplex is seeking a full-time Operations Coordinator to coordinate public programs, school programs, field trips, rentals, and garden-based learning. The role involves managing the Agriplex’s master calendars, facilitating smooth operations across the campus, and providing excellent customer service to visitors and program participants.

Responsibilities

Greet visitors, answers phones, and provide general information about programs and services
Respond to inquiries via phone, email, and in person
Maintain a welcoming, organized front office environment
Manage the Agriplex’s master calendars, including programs, meetings, rentals, and events
Coordinate room and facility usage across the whole campus and ensure no conflicts
Communicate schedule updates to staff, instructors and partners
Track setup needs, equipment requests, and special accommodations
Serve as the primary contact for rental inquiries
Provide rental information, pricing, and availability
Prepare rental agreements and ensure required documentation is completed
Coordinate with staff and renters to ensure rooms are prepared and restored after use
Assist with data entry, filling, and maintaining digital and physical records
Order office supplies and maintain inventory
Monitor multiple rooms, spaces and facilities to ensure readiness for programs and rentals
Report maintenance or facility issues promptly
Assist with basic logistical tasks during events or high-traffic times
Other tasks as needed

Required

Strong organizational and multitasking skills
Experience managing calendars, scheduling, or facility coordination
Excellent communication and organizational skills

Proficient with office software (Google Office Suite, Microsoft Office)
Ability to remain calm and solution-focused when juggling multiple priorities
Flexible, energetic, and team-oriented
Customer satisfaction driven

Preferred

Prior administrative, receptionist, or scheduling experience
Experience in nonprofit, education, or community-center environment
Familiarity with rental management or event coordination
