Responsibilities

Organize and manage design, fabrication, and installation timelines and deliverables for Gizmo staff, consultants, vendors, and clients
Create, maintain, and track complete project plans, including resources, schedules, task lists, and dependencies
Serve as the primary point of contact for clients and third-party vendors
Facilitate meetings and maintain clear, organized project documentation, including agreements, deliverables, invoices, and open issues
Track project budgets, change orders, and cost exposure; identify risks to profitability and escalate issues early
Send invoices and support accounts receivable follow-up as needed
Ensure client satisfaction by supporting scope changes, troubleshooting issues, and resolving problems during production
Plan and support on-site installations, including logistics, access constraints, sequencing, and coordination with other trades
Participate in occasional site visits and installations as needed
Foster a culture of continuous improvement by developing and documenting streamlined processes, procedures, and workflows from sales through project delivery
Assist the Sales team in generating proposals by providing accurate resource planning, production capacity estimates, and budget validation
Contribute to Gizmo’s open, positive, and collaborative team environment
Present a courteous, professional face to clients, partners, and vendors
Ability to lift up to 20 pounds
Hold a valid driver’s license with a clean driving record

Required

Must currently live in the San Francisco Bay Area
3–5 years of project management experience; construction or fabrication background preferred
BA degree in business, engineering, or equivalent relevant experience
Proven client-facing experience with strong verbal, written, and presentation skills
Strong analytical and problem-solving skills, including the ability to implement and improve business processes; familiarity with industry best practices (PMI, BIM, etc.) is a plus
Comfort working with drawings, specifications, and visual design documentation
Familiarity with fabrication, exhibit, or custom build environments
Excellent team-building and conflict resolution skills
Proficiency in project management software (Smartsheet or equivalent) and Google Workspace
Ability to work on Macintosh and/or Windows platforms
Ability to manage multiple deadlines under pressure, delegate effectively, and proactively address risks to schedule, budget, or quality
Customer-focused, mature, friendly, professional, and results-oriented
Thorough, highly organized, and detail-oriented
Ability to lift up to 20 pounds
Hold a valid driver's license with a clean driving record
