Responsibilities

Manage the President’s complex calendar, prioritizing requests, resolving conflicts, and ensuring alignment with organizational priorities
Coordinate meeting logistics, travel arrangements, and executive engagements
Serve as a liaison between the President and internal/external stakeholders
Draft and support creation of executive correspondence, briefing documents, and talking points
Anticipate executive needs and proactively manage deadlines, follow-ups, and action items
Provide comprehensive administrative and governance support to the Board of Directors
Coordinate Board and committee meetings, including scheduling, agenda development, materials preparation, and logistics
Prepare and maintain Board documentation, minutes, resolutions, and governance records
Track Board action items and ensure timely follow-up
Support onboarding and engagement of Board members
Collect, analyze, and synthesize information from multiple sources to provide summaries, insights and support decision-making to executives
Support preparation of presentations and reports for the Board of Directors, Executive Team, internal departments, and external clients or partners
Support preparation of materials for Board meetings, donor briefings, client presentations, and external engagements
Provide coordination and administrative support to the Executive Leadership Team
Assist with preparation of strategic documents, presentations, and leadership communications
Coordinate executive meetings, retreats, and planning sessions
Facilitate cross-functional communication and information flow
Coordinate recruitment, onboarding, scheduling, and deployment of volunteers
Maintain volunteer records, schedules, and databases
Serve as initial point of contact for volunteers
Coordinate volunteer assignments for programs, events, and organizational initiatives
Support volunteer engagement, communication, and recognition efforts
Maintain confidential and sensitive information with discretion
Support operational improvements and process optimization
Assist with special projects and organizational initiatives as assigned
Ensure compliance with organizational policies and governance standards

Required

Bachelor's degree or equivalent professional experience
3–7 years of experience in executive coordination, administrative leadership, or related roles
Experience supporting senior executives and Boards of Directors
Demonstrated ability to synthesize information and prepare executive-level presentations
Strong organizational, analytical, and communication skills
Experience with volunteer coordination or stakeholder management

Preferred

Experience with volunteer coordination or stakeholder management
Presentation design skills strongly preferred
