Veterinary Client Care Manager

Thrive Pet Healthcare is seeking a Client Care Manager to join their Advanced Veterinary Care team. The role involves overseeing the Customer Service Representative department, maintaining high-quality service standards, and managing employee processes to ensure effective operations.

Responsibilities

Maintain high-quality service by establishing, enforcing, and continuously improving hospital standards
Serve as an active member of the hospital leadership team
Oversee the Customer Service Representative (CSR) department, including full ownership and accountability of department performance
Manage CSR staffing and scheduling to ensure appropriate coverage and workflow support
Lead employee management processes for the CSR team, including interviewing, hiring, onboarding, training, development, and performance reviews
Create, implement, and maintain efficient workflows and proven processes within the CSR department
Act as a liaison between the reception team and the ER, specialty doctors, and medical/support teams
Coordinate and schedule ER and specialty client appointments, including referral cases, transfers, admits, consults, and follow-up appointments
Maintain strong working relationships with ER and specialty doctors and their support teams
Assist with communication and requests from referring veterinarians
Handle and resolve client concerns and escalations with professionalism and empathy
Participate in inter-hospital communication training and provide coaching to CSR staff
Assist with financial oversight related to the front-end operations, including reviewing daily financials, end-of-day processes, and identifying opportunities for efficiency and improvement

Required

Medical or veterinary knowledge
3+ Years of management experience
Flexible availability that may include days, nights, weekends, and holidays
Adaptability, being able to change directions seamlessly while demonstrating a positive attitude with clients and co-workers
Highly organized and above-average attention to detail
Resourceful and collaborative problem resolution skills
Strong and respectful written and verbal communication skills
