Scheduling Secretary (Union S-SVC)

The Scheduling Secretary is responsible for managing staff schedules, coordinating clinical teams, and ensuring timely provision of care while maintaining documentation and communication with various stakeholders.

Responsibilities

Maintains staff schedules in software
Enters future schedules and daily staffing adjustments
Initiates working calendar for each employee
Coordinates visit schedules to ensure coverage of each day’s visits
Identifies and reconciles scheduling problems and refers to manager as appropriate
Tracks all pending and hospitalized patients
Interacts with intake staff and healthcare facilities
Schedules all disciplines to ensure timely provision of care occurs
Maintains availability lists for the interdisciplinary team
Schedules staff according to caseload needs, utilizing per diems as needed to augment full and part-time staff
Maintains various home care and hospice reports
Collaborates with other teams to assure coverage for daily, evening and weekend visits
Coordinates assignment of patients to clinicians based on specialty, competency and geographic location
Addresses variances identified in the open/missed visit reports and actively works to minimize issues
Receives all incoming patient, caregiver, and non-management documentation for their team
Responsible for tracking documentation for timeliness of submission
Responsible for identifying untimely or incomplete work
Notifies clinical manager of deficiencies
Verifies visits, comparing clinician schedules to patient documentation, to ensure accurate payroll and billing
Assists clinical staff with word processing support to plans of care and recertification’s
Supports processing of visits/supplies through software system to ensure appropriate billing
Answers phone calls and receive other information (faxes, etc.) sent to the team
Determines whether to address situation independently or to forward to another party
Functions as an initial point of contact for interactions with care team members, managers and patients
Responsible for other general office duties for, i.e.: maintaining office machinery, faxing and copying, etc
Answers and routes incoming telephone calls for Mercy Health Home Care and Hospice
Thorough working knowledge on how to use Microsoft Office i.e., Word, and Excel
Ability to responsibly secure, report and deposit any Home Care or Hospice donations or payments
Responsible for continuously identifying, suggesting, and participating in opportunities to improve efficiency and effectiveness of the team
Ensures the mission and values are translated into daily work performance and relationships

Required

High School Diploma or GED required
Two (2) years of experience in an office environment, preferably in healthcare with experience staffing/scheduling
Strong written and verbal communication skills
Strong customer service skills
Strong analytical skills
Ability to coordinate efforts with team members within and outside of own department or organization
In-depth knowledge of computer systems and various software programs
Experience developing and maintaining reports
Ability to work independently and self-directed
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
Ability to compute rate, ratio, and percentage
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations
Ability to write reports, business correspondence, and procedure manuals
Ability to effectively present information and respond to questions from leaders, team members, investors, and external parties
Ability to understand, read, write, and speak English
Regular standing, walking, and manual dexterity are fundamental, along with the ability to lift and move objects up to 50 pounds
Visual acuity requirements include close and distance vision, color and peripheral vision, depth perception, and the ability to adjust focus

Preferred

Two (2) year/Associates Degree in Business, data management or related field preferred
