Responsibilities
Open and close the front reception desk; monitor reception area
Serve as primary point of contact for clients and guests
Answer and route incoming calls; respond to office and facilities emails
Order supplies and coordinate facilities-related requests
Reserve visitor offices, conference rooms, and manage shared spaces
Coordinate meeting logistics, including external catering
Provide comprehensive administrative support, including travel booking, meeting scheduling, expense reports, and document preparation
Manage and prioritize Outlook calendars, communicating changes and keeping professionals on schedule
Register professionals for conferences and networking events
Arrange catering as needed and support ad hoc requests
Provide backup administrative support to team members
Qualification
Required
Proficient in Microsoft Office (Outlook, Word, Excel, and Teams)
Professional demeanor and appearance
Proactive self-starter who can multi-task
Strong written and verbal communication skills
Well-organized, with strong attention to detail
Preferred
Knowledge with Concur is a plus
