Program Supervisor, Day Programs

Elwyn is a mission-driven nonprofit that has been supporting individuals with autism and developmental disabilities for over 170 years. They are seeking a Program Supervisor to coordinate and supervise activities within Day Programs and community-based services, ensuring meaningful engagement for individuals with disabilities.

Responsibilities

Coordinate daily activities and assignments of all direct care and additional support staff working at Day Program and day community-based services, including but not limited to horticulture activities, music appreciation activities, community gardening, visits to beauty salon, museum outings, etc. to enhance the lives of individuals with intellectual and developmental disabilities and to provide meaningful activities and learning opportunities
Develop, coordinate, and train staff in the implementation of classroom curricula, as well as activities for engagement within the community to ensure that staff are thoroughly prepared to work with individuals in daily activities and community outings
Provide workflow coordination to and monitoring support staff in areas including but not limited to coaching, training, and assigning tasks within scope of Day Program and community-based activities, events, assignments, and regulatory requirements
Provide linkage between Day and Residential Programs through phone calls, emails, and face to face meetings to ensure that services are being provided consistently and in accordance with the individual’s plan
Provide direct care services, when necessary, including but not limited to leading and initiating activities and conversation to interact with and engage the individuals through various communication styles, providing instruction and guidance to the individuals, providing and assist with adult daily living needs such as personal care, hygiene, and appropriate clothing
Develop activity calendars in conjunction with what individuals request to ensure both facility- and community-based experiences
Provide assistance in crisis intervention situations as needed, including but not limited to de-escalating and redirecting individuals when displaying negative behaviors and medical emergencies to stabilize behaviors and ensure the health and safety of individuals receiving services
Complete or ensure the completion of required/designated program documents including but not limited to specific diet protocols, program notes based on summary of observations of activities of individuals in both facility and community-based activities, and attendance/utilization reports and ensure documentation is completed no later than the end of each program day in accordance with policies, procedures, and regulations, for accurate billing purposes, as well as to assist in monitoring the individuals’ progress toward goals
Assist with transportation of individuals and staff if assistance is needed
Maintain supplies, outreach to community for potential partnerships for participants to develop relationships with members of the greater community
Assist documentation specialist in ensuring submission of notes daily
In conjunction with the Day Program Manager and Day Program Director, as well as other Elwyn staff and required outside parties, assist with ensuring staff adherence to Day Program regulations, policies, and procedures, including but not limited to Division of Developmental Disabilities (DDD) and Center for Medicare/Medicaid Services (CMS) Home and Community Based Services mandates and supports program policy manual
Maintain and coordinate visitations, tours, and monitoring of Day Programs with Supports Coordinator, agencies, and other personnel in absence of Program Manager and/or Program Director by coordinating visitation schedules between Day Programs and visitors to ensure any requests are complied with to meet audit and regulatory compliance while creating the least disruption to programming
Coordinate changes of staff schedules of Day Program staff, as needed, to include weekend and residential hours to ensure proper coverage in both day and residential programs
Works with, understands, and complies with terms and conditions of collective bargaining agreements (CBA) within a unionized environment with tasks including but not limited to adherence to scheduling procedures and ensuring any staff performance issues are conveyed to the Program Manager and the Operations Manager, when needed, etc
Maintains current state-mandated training and certifications
Follows all current policies and procedures of Elwyn New Jersey
Cooperate with Elwyn New Jersey and the State of New Jersey Department of Human Services, or any other authorized investigating body during an inspection, an inquiry, or investigation
Perform cardiopulmonary resuscitation (CPR), First Aid, safety care crisis intervention, and medication administration using agency-trained protocols
Perform other duties as assigned

Required

High School diploma or equivalent
Two (2) years of experience working with individuals with intellectual and/or developmental disabilities
Demonstrated ability to work effectively as part of a team
Ability to work in a fast-paced environment and manage and prioritize multiple, often competing, priorities
Demonstrated strong attention to detail
Demonstrated strong time management and organizational skills
Demonstrated excellent judgment with the ability to independently solve problems and make decisions with little or no need for direct supervision
Demonstrated ability to anticipate future needed changes or identify problem areas and take effective actions
Must be able to perform CPR and safe care using agency-trained protocols
Must possess excellent customer interaction, collaboration, presentation, and written and verbal communication skills
Demonstrated intermediate experience with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint
Must submit to a criminal background check and be determined to be not disqualified by the New Jersey Department of Human Services prior to working with individuals served
Must agree to have their name checked against the New Jersey Central Registry of Offenders Against Individuals with Developmental Disabilities and NJ Child Abuse Registry (CARI)
Must possess a current, valid driver's license in state of residence, have a minimum of two (2) years of driving experience within the United States, and have an acceptable driving record

Preferred

Supervisory experience preferred
Knowledge of applicable state program regulations preferred
Previous experience working within and managing a unionized workforce preferred
Non-profit human service experience highly preferred
Experience using/knowledge of Electronic Health Record (EHR) / Electronic Medical Record (EMR) preferred
